Working with a client (Scheduler-based appointment example).
Scheduler-based appointments are one-on-one appointments where you are working directly with a client/person you support (e.g. working with Aroha on a Homecare service).
These appointments are entered into Scheduler in Webcare, which are then available on your Mobile App.
Below we are selecting Arohas's Homecare appointment.
Once you have clicked on the appointment, you can see the details of the appointment.
Click on 'I'm Here' when you arrive.
Enter the amount of time in minutes it took you to get to the address (1).
Enter the distance in kms (2).
You are able to take a photo to verify you have arrived at the appointment, this will automatically open the camera on your phone (3).
Click on 'Start Appointment' when you are ready (4).
Once Start Appointment has been selected, you will see on the My Appointments screen an orange clock icon beside Arohas appointment. This shows the appointment is in progress.
If you click on the appointment, you can see below the In Progress icon (1) and Complete Appointment (2) is now available.
Click on Complete Appointment when you are ready to leave, from here you are able to enter the details of the appointment.
We will begin with the Start and End times.
If the appointment started and ended at a different time to the scheduled appointment, you can change this here by clicking on the Start and/or End Time section and scrolling through the times to select the correct one.
If you change the scheduled times, a Reason for Change box will appear below the Start and End Times, enter the reason for change in the Time Note screen and Save.
The Travel Time and Distance are visible from when you entered them at the start of the appointment. If you did not enter them at that time, you can enter them now. You can also enter the location.
The Completed Action Details is Read Only, it saves the start time and location of the appointment based off when the Start Appointment button was pushed and the mobile phones GPS.
Staff can take a photo to verify the appointment and/or get the client to sign off on the appointment.
Before Submitting, add any notes about the appointment here. These get saved with the appointment in the Webcare Scheduler.
Once the details above have been completed, you can Save & Submit Later (1) or Submit Timesheet (2) immediately.
If you Save and Submit Later, a green tick icon will show next to the appointment and it will show as Not Verified on the My Timesheets screen
To submit, you just need to select the appointment and click on Submit Timesheet.
If you Submit Timesheet, an Appointment Submitted pop up box will appear and the appointment will be shown as Submitted on the My Timesheets screen.
